Admin Assistant

Responsibilities

  • Bachelor’s degree in Business Administration, Office Administration, Management, or any related field.
  • At least 1–2 years of experience in administrative, purchasing, facilities, or office operations is an advantage.
  • Knowledgeable in purchasing procedures, payment processing, and inventory/accountability management.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook, PowerPoint)
  • Strong organizational and time-management skills.

Required Qualifications

  • Manage purchase orders and ensure timely processing of requests and canvassing documents.
  • Coordinate with suppliers and vendors regarding quotations, deliveries, and billing concerns.
  • Prepare and monitor purchase orders, requests, and procurement documentation.
  • Ensure accurate and professional front desk operations, including handling calls and visitors.
  • Prepare and submit weekly and monthly reports related to purchasing and supplier monitoring.
  • Receive, release, and monitor mails, payments, and official correspondence.
  • Process utility bill payments and supplier billing within the prescribed timeline.
  • Oversee facilities and room management to ensure cleanliness, orderliness, and proper scheduling.
  • Maintain asset monitoring and accountability records with accuracy and completeness.
  • Assist in administrative and operational tasks assigned by management.
  • Ensure compliance with company policies, procedures, and documentation standards.
  • Coordinate with internal departments to support smooth day-to-day office operations.
